As you know, the Registrar’s Course Library is the permanent repository for campus-wide courses. Before a course may be scheduled on MyUI Courses, the course must exist in the Library.

Thank you for noting the deadlines in this memo for revisions to courses in the Library while keeping in mind the open and close dates for the Offerings Planner as well for editing the Catalog since each of these affects the other.

  1. Revisions to critical course components. If a course appears on the “live” MyUI Course schedule, revisions to the critical course components below affect the students’ Schedule Builder tool and the Registrar’s final examination scheduling tool. Revisions to these critical components once the schedule is “published” also can confuse students and their advisors, impacting enrollments. Consequently, revisions to these critical course components will not be approved if the course simultaneously appears on the live MyUI Courses schedule. Instead, please choose another effective session. The Spring 2020 MyUI Courses will be live on October 7, 2019.  All changes to these crucial course components should be completed by this date.

Before Early Registration begins, corrections of errors to other course components (i.e., those not listed above) may be made if urgent. Early Registration for Winter and Spring 2020 begins on November 11, 2019. These minor corrections should be completed by the beginning of ER for Winter or Spring courses. You may also choose a future session for implementation.

When sending through a revision in the above cases, please note the reason for the change in the form’s rationale box since doing so saves time in the approval process.

  1. Adding a course. Adding a new course to the Library does not affect MAUI tools or systems since the course has not yet been scheduled on MyUI Courses. A new course for inclusion in the Library thus may be requested when needed while keeping in mind the Offerings Planner open and close dates as well as the Catalog editing period.
  2. Dropping a course. Courses may be dropped from the Library as soon as the department or program decides that the course will no longer be taught. Each fall, the Registrar also facilitates the removal of courses that have not been taught in four years through the Inactive Course Report. We appreciate departments and other units watching for this report and taking action within the timeframe given.

We know that updating courses can be time-consuming; still, fresh titles and descriptions can help students to try a course in a field outside of their experience, while also helping advisors to stay aligned with the current offering.

Thank you for reviewing any courses that you will teach during Winter 2019 or for Spring, Summer, or Fall 2020; be sure that courses are updated as soon as possible.
