Undergraduate Academic Deadlines for Spring 2022

CLAS will adhere to the Registrar’s Academic Calendar for undergraduate course adds, course drops, and withdrawals. Thank you for keeping your undergraduate students informed about academic deadlines.

  • Adding a course: The deadline to add semester-length courses without dean’s authorization is Monday, January 31.
  • Dropping a course: The deadline to drop individual semester-length courses without dean’s authorization is Monday, April 4.
  • Withdrawal of entire registration: The deadline to withdraw from the spring semester without dean’s authorization is Monday, April 18.

  • Considerations for instructors related to the deadline to drop a course (Monday, April 3)
    • The mark of W will appear on the student’s transcript. Ws are neutral marks that do not affect a student’s GPA.
    • It is very important that all instructors make sure that each student in a course has a sense of their current grade before the mid-point of the semester (midterm notices are due March 24). This information can help students make a better-informed assessment of whether they should remain in a course or drop it before the drop deadline of Monday, April 4.
    • CLAS does not typically make exceptions to the drop deadline except in situations where the student has been seriously ill, has had a family emergency, or has been involved in a similar extenuating circumstance. In these cases, documentation is required for the College to approve a drop after the April 4 deadline.
    • Please refer students with questions to CLAS Undergraduate Programs in 120 Schaeffer Hall or clasps@uiowa.edu.

Online Add Procedures

The Registrar’s Office has created a process for students to add classes through MyUI/MAUI, similar to the online course drop/withdrawal process. The process is described here: https://help.maui.uiowa.edu/online-course-add-process-instructors.

Departments/instructors are encouraged to use the online process when possible; however, the UI Service Center continues to accept change of registration forms with handwritten signatures.

Instructors should ensure all students attending are properly registered for the course. Please do not add students to ICON if they are not registered for the course. ICON access is automatically granted to the student overnight after they have finalized the course add.

Documentation related to absences

  • Daily reports (Student Absence Report) are provided to instructors via email (a list of students who have filled out the self-report form within the last 24 hour period) and will serve as the excused absence documentation.
  • Please do not ask students on this list for additional documentation.
  • Daily reports are not cumulative, but cumulative reports can be found within each ICON course site using the Course Absence List feature (which is also up to date related to student adds/drops).
  • For longer absences and absences not necessarily related to COVID-19, students can be asked to use the CLAS absence form to report their absence and turn it in to the instructor; this form is also available through ICON.

Supporting student absences

  • It is critical that the syllabus clearly provides an explanation of attendance policies, including what students should do if they will be absent from class.
  • Whenever possible, instructors should try to build in flexibility to attendance and participation policies, assuming that students this semester may have more absences than usual and to protect instructor time with accommodating students.
  • It is also not expected or encouraged that instructors of in-person courses offer Zoom access for the entire class as an alternate way to attend, but only to students whose absence is reported on the instructor self-report forms or for other emergency reasons.

CLAS Undergraduate Student Academic Concern Form

Concerned about an undergraduate student? The academic staff in CLAS Undergraduate Programs (120 Schaeffer Hall) have created a reporting form for instructors to use when concerns arise related to a student in one of your courses. If you have a student you are concerned about, please fill out the online reporting form. You will be asked to share your name, student’s name, and a brief summary of the concern. You can also choose to remain anonymous or for the student to know you have filled out the form and the staff will determine the correct outreach and resources to support the student.

Reasons instructors might use the CLAS Undergraduate Student Academic Concern Form:  

  • Student has stopped coming to class or stopped submitting assignments with no communication for more than a week.  
  • Student has not responded to your attempts to outreach via email or ICON website.
  • Student appears to need support related to their wellbeing based on in class behavior or information they have shared with you.
  • Student might need to be connected to additional resources on campus.
  • Student has shared concerning information with you.

Please also refer to the Dean of Students Quick Help Guide for supporting students. The Dean of Students has a student concern/issue reporting system that can be used for concerns related to the code of student life, student conduct, fraternity/sorority concern, and other matters related to student behavior or concern around student wellness and basic needs.

The Dean of Students’ Student Care and Assistance Team also works with students in acute crisis, emergencies, and with student threat situations. For these situations, instructors and others should feel free to contact DOS directly at dos-assistance@uiowa.edu or at 319-335-1162.
