Each year, faculty are required to complete a Post-tenure Effort Allocation (PTEA) agreement.  The deadline for completion of the agreements is Wednesday, April 15, 2020.  This will allow DEOs to count on additional information on CDAs, stipend supplement awards, tenure decisions, phased retirements, etc., thus eliminating the need to process an adjustment to the PTEA forms later in the Spring Semester.

The PTEA process is web-based, and the online database is administered by the Office of the Provost: https://provost.uiowa.edu/apps/pteap.  After reaching the website, you will be able to log in with your HawkID and HawkID password.

Please use the reports on the Provost WebPortal.  When your administrator has finished entering the PTEA information for your faculty, the next step is for the DEO to email the following documents to Carole Kern no later than April 15, 2020

  • the WebPortal “Departmental Summary Table”
  • signed individualized portfolios for non-unit norm faculty

The College also needs to have all PTEAs for DEOs for next year (AY 20-21) in our office by April 15, 2020.  If you are continuing your term as DEO and plan to allocate the same effort as this academic year, simply fill in the new form, sign it, and return it to us.  If your term expires at the end of this academic year, and we have not yet determined who will be chair of your department, please consider what you expect to be doing in AY 20-21 and make your changes to your PTEA form, sign it, and return it to us for consideration.  If you wish to discuss your effort allocation for next year, please contact our office (5-2615) as soon as possible.

As the Provost Office instructions indicate, “DEOs must confer with each tenured faculty member to agree on the faculty member's planned allocation of effort for 2020-2021.  If a faculty member will be on leave, this conference should take place prior to departure, if possible.”

In preparing the PTEA agreements and entering the data into the on-line database, DEOs should keep in mind two important provisions of PTEA Policy:

  • The faculty member may not reduce his or her teaching or scholarly/creative contribution to 0% for any period of time or take disproportionate responsibility in any one area over a long period of time.
  • When the PTEA process is completed, the DEO must distribute to the faculty a description of each portfolio agreement and an explanation of how the department will continue to fulfill its mission while the agreements are in force.

Many thanks for your cooperation in this important process.
