Each department and program must have official locked Iron Mountain “shred bins” available in central locations for all instructors and staff to use for disposing of confidential materials protected under state and federal mandates (such as for student records protected by FERPA).

  • These materials must never be disposed of in private or UI recycling containers or trash cans.
  • UI has a contract with Iron Mountain for disposing of sensitive materials and offers locked bins for materials to be shredded, with secure and professional off-site shredding and recycling.  Please use only these bins for protected documents.
  • Materials that must be shredded include, for example, old exams and assignments that have student names and IDs on them; written phone messages and sticky notes containing sensitive information; and student correspondences containing ID numbers.
  • These shred bins must be conveniently located and available to all instructors and staff who work with sensitive records or materials.
  • If you need additional bins for those departments and units farther away from a central staff office, please request them immediately.
  • Ideally, such bins must be in an office that can oversee them, calling Iron Mountain for removal when full.
