CLAS Computing Equipment Asset Tag Standards

Purpose  

The purpose of this is to create a clear standard for the identification of technology assets purchased by the College of Liberal Arts and Sciences. This includes equipment purchased with any CLAS budget account including computers (desktop, laptop or server), printers, multifunction devices, scanners, and other peripherals of significant value.

All CLAS Departments

Independent departments in CLAS (not supported by the CLAS IT Group) will follow the CLAS Equipment Asset Tag Standard by using the gold UI tags provided by Property Management as shown for all equipment of significant value. All CLAS departments must maintain computer asset inventory records.

CLAS IT Group Supported Departments

Computers

Computers and equipment in departments supported by the CLAS IT Group will use the gold UI Property Management Asset Tag on all equipment plus the CLAS IT Group Asset Tag as shown. CLAS IT Group staff will ensure that computers and peripheral equipment are labeled appropriately upon setup. Asset tags must be visible and affixed to a permanent part of the asset (not the monitor) in order to facilitate physical inventories. Departmental staff must ensure that any equipment not set up by the CLAS IT Group is labeled with the appropriate UI Property Management Asset Tag.

Print Devices

All networked print devices of significant value will be labeled with a CLAS IT Asset Tag and a UI Property Management Asset Tag.

Other Peripheral Equipment

Departmental staff must ensure that all other equipment of significant value is labeled with the gold UI Property Management Asset Tag.

Note: Equipment purchased with Student Technology Fees

Beyond the above requirements, all equipment purchased with Student Technology Fees must be identified as such. Departments will supply their own labels which will read: "Technology Fees paid for this equipment." These labels must be affixed in an easily visible location on the equipment. This requirement applies to all CLAS departments.
